The Ellipsis Affiliate Management System:


We have spent over 17 years working hard to ensure we made our affiliates the most compliant we could. We assessed risks, put mitigation measures into place and created evidence trails to manage our risks. The result is a series of resources which will help affiliates to improve. We are members of both IOSH and IIRSM.


We have developed a robust gap analysis procedure and a library of over 140 supporting document templates that aim to assist affiliates to cover their legal obligations and also reduce risk in as many areas as possible. We like to think of this system the 5 P's of Ellipsis:


Plan - to be able to effectively plan, there is a need to know what to plan for - to know risk, legislation, and other requirements. Our overarching document that covers how we plan and how our document system is structured is our Legal Register, and this forms the basis for how we approach risk management. This has led us to develop our Gap Anaylsis system - an 8-document series of questionnaires that give a thorough overview of topics ranging from Health & Safety to Communications and Continuous Improvement.


Prepare - in order to prepare businesses for the next steps, they need to know what they are doing, and what they are not yet doing - where  gaps in their risk management profile exist, and how to fix them. The Gap Anaylsis documents identify areas for improvement. They also identify which of our template documents can help to make this process as quick and easy as possible. 


Prevent -  by putting procedures in place to cover our legal and other requirements, we can   show duty of care and a commitment to doing the right thing. Our template documents have been designed to create a fully functioning, intertwined and comprehensive system. Documents are linked, cross-referenced and structured to form a web of compliance. Just add your business-specific information!


Protect -  procedures need to be implemented to be effective. We also provide further templates in the form of checklists, notices and forms that can be continually used to show compliance, keep the system live and effective, and to allow auditability and accountability. 


Preserve - documents and processes need to be monitored to ensure they are fit for purpose and helpful. We provide annual updates of procedures, reviews of any significant events within the business, legal changes, access to any new documents/developments and an annual overarching management review template which are all critical to ensuring a system continues to be effective.



The outcome of this is our Affiliate System. Our service consists of three stages:



Ellipsis 'Plan & Prepare' (Phase 1):


This is the first stage of our service is to perform a remote healthcheck on your website and social media, as well as allowing full access to our Gap Analysis questionnaires. This allows businesses to identify and understand the needs of the business and where the biggest risks are. This information is triaged into an implementation plan for the business to utilise to get systems in place to reduce risks. Help, support and document templates are provided and can be tailored to suit.


You will be allocated your own personal portal area to upload your completed Gap Analysis documents. This is also a space for keeping all your work. This will be yours for as long as you work with us. 



Ellipsis 'Prevent & Protect' (Phase 2):


The next stage is to browse our document library and utilise the templates and document structure/numbering system that we have created. Templates can be easily tailored by businesses to suit individual needs. We have created over 100 of these which are aimed to be a helpful, time-saving resource. Businesses are welcome to add or alter information to fit their needs but the beauty of the system is how the documents themselves fit together.


Once again you can upload your completed documents into your portal area to keep everything in one place.


Full implementation usually takes about a year, although this could be longer or even shorter depending on the amount of work that needs doing and how quickly businesses implement findings or improvements.



Ellipsis  Preserve (Phase 3): 


After the necessary procedures and policies are all in place, we remain on hand to answer any quick email queries you have and provide annual updates of documents in line with any legal or other changes. We also provide access to any additional documents developed in response to this or other issues, plus a management review process to ensure compliance is up to date, as well as ongoing online support and social media/document spot checks.


Your portal continues to be available for you to add/adjust documents as you see fit. This also allows us to see what you have done and make suggestions for your next step, if you need us to.

There is also the option of 1 hour advice/mentoring slots for £80 (& VAT) should you need extra asssistance or want a review of your work.


We offer tailored affiliate solution or risk managment services in the form of on-site audits. Costs start at

£600 & VAT* per half-day (*additional travel costs dependent on location).
